Systems Manager, Events, Space and Events Management

Job Description

The Systems Manager is responsible for maintaining the stewardship of scheduling systems (KX, LibCal, and future systems) under the direction of the Associate Director.

The Manager facilitates the effectiveness of reservation systems for ULSE space, and manages the implementation and utilization of the event planning and reservation software system – including accuracy of data entry to support events, tracking equipment and billing processes, assessment, and reporting.

Stewardship duties will include cultivating and engaging with system users and working closely with the Manager for Scheduling and Events to develop programming/training (and other curated content relevant to system users) as needed.

The Systems Manager will directly recruit, train, schedule, supervise, and evaluate student and part-time event assistant staff, and provide support to the event and operations team.

Under the supervision of the Associate Director, the Manager is responsible for managing incoming space requests through the scheduling systems (KX, LibCal, and future systems) for University Life space and non-registrar managed events and activities within Central Pool Classrooms.

This individual will maintain a close working relationship with the Office of the University registrar in order to balance OUR’s needs for classroom, instruction, and academic space.

The Manager is also has limited responsibility for scheduling and planning for events, activities, and programs held in Perelman Quadrangle, University Life venues, and central pool classrooms.

This includes, but is not limited to, advising clients regarding the vision for their event, the space and equipment requirements, matching available space to requirements, and assisting with the coordination of support services, such as custodial, media, security, etc.

The Manager works closely with student organizations to determine event needs and facilitates arrangements with campus partners.

This position is required to work a flexible rotating schedule to provide on-site support and oversight to assigned events including some nights and weekends.

As a member of the University Life scheduling and events team, the Manager will respond to inquiries and provide scheduling support during traditional and non-traditional hours.

Responsibilities/Duties

  • Under the direction of the Associate Director, responsible for maintaining the stewardship of scheduling systems. The Manager facilitates the effectiveness of reservation systems for ULSE space, and (through direct partnership with software vendor and departmental IT) manages the implementation and utilization of the event planning and reservation software system – including accuracy of data entry to support events, tracking equipment and billing processes, assessment, and reporting.
  • Directly recruits, trains, schedules, supervises, and evaluates student and part-time event assistant staff, and provides support to the event and operations team. Under the supervision of the Associate Director, the Manager is responsible for managing incoming space requests through the scheduling systems (KX, LibCal, and future systems) for University Life space and non-registrar managed events and activities within the CPC’s.
  • Has limited responsibility for scheduling and planning for events, activities, and programs held in Perelman Quadrangle, University Life venues, and central pool classrooms. This includes, but is not limited to, advising clients regarding the vision for their event, the space and equipment requirements, matching available space to requirements, and assisting with the coordination of support services, such as custodial, media, security, etc.
  • System stewardship duties will include cultivating and engaging with system users (internal and external to the department) and working closely with the Manager for Scheduling and Events to develop programming/training (and other curated content) relevant to system users as needed.
  • As a member of the University Life Scheduling & Events team, assist with event preparation and program initiatives as needed and will cover office hours, respond to inquiries, and provide scheduling support during non-traditional, student-centered hours including evenings and weekends.

Qualifications

Bachelor’s Degree and two to three years of experience in facilities event planning or related areas, or equivalent combination of education and experience, are required. Working knowledge of Windows 10 as well as Microsoft Office suite of computer products preferred. Must pay strict attention to detail. Background check required.
